Velixo Partner Portal Privacy Policy

1. Scope

This Privacy Policy explains how Velixo (“Velixo,” “we,” “us,” or “our”) collects, uses, discloses, and protects information in connection with the Velixo Partner Portal (the “Portal”) and related partner services (collectively, the “Services”).

This Policy applies to information collected from partner users who access or use the Portal on behalf of a company or other organization (“Partner”).

2. Information We Collect

We collect information in the following categories:

2.1 Account and Identity Information

  • Name, business email address, company/Partner name, role/title.
  • Login identifiers and authentication details (for example, via single sign-on if enabled).
  • User and organization settings within the Portal.

2.2 Partner Program and Business Information

  • Partner program status (tier, certifications, enrollment dates).
  • Deal registration details, lead/referral submissions, and related communications.
  • Support requests and messages submitted through the Portal.

2.3 Usage Data, Diagnostics, and Device Information

When you use the Portal, we collect technical and usage information such as:

  • Pages/screens viewed, clicks, feature usage, session duration.
  • Device and browser information (e.g., browser type, OS).
  • Approximate location inferred from IP address (where permitted/available).
  • Error logs, crash reports, performance and reliability metrics.

2.4 Session Replay and Quality Assurance Data (LogRocket)

For quality assurance, troubleshooting, and user experience improvements, we use LogRocket to help us understand how the Portal behaves during real user sessions. LogRocket may collect:

  • Session replay data (e.g., interactions such as clicks, navigation, scrolling).
  • Console logs and technical diagnostics.
  • Network request metadata related to Portal functionality.

Important: We strive to minimize collection and may configure LogRocket to mask or exclude sensitive fields. However, depending on configuration and user inputs, some information you type into the Portal may be captured in session replays. Please avoid entering unnecessary sensitive personal information into free-text fields.

2.5 Telemetry and Monitoring (Azure Application Insights)

We use Azure Application Insights (part of Microsoft Azure monitoring) to collect telemetry such as:

  • Application performance metrics.
  • Feature usage and event tracking.
  • Errors/exceptions and dependency performance.
  • Basic device/browser and diagnostic information.

2.6 Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Keep you signed in and maintain session state.
  • Remember preferences.
  • Improve performance and security.
  • Support analytics/diagnostics related to the Services.

You can control cookies through your browser settings. Some cookies are necessary for the Portal to function.

3. How We Use Information

We use collected information to:

  • Provide and operate the Portal and partner program features.
  • Authenticate users and manage access/permissions.
  • Deliver partner resources and enable collaboration.
  • Monitor performance, detect and fix issues, and improve reliability.
  • Conduct quality assurance and user experience improvements (including via session replay tools).
  • Protect the security and integrity of the Services (including misuse prevention).
  • Communicate with you (support, operational notices, policy updates).
  • Comply with legal obligations and enforce our agreements.

4. Legal Bases (Where Applicable)

Where required by applicable law (e.g., GDPR/UK GDPR), we process personal data based on one or more of the following:

  • Performance of a contract (providing the Services).
  • Legitimate interests (security, diagnostics, QA, improving the Services).
  • Consent (where required for certain cookies/technologies).
  • Compliance with legal obligations.

5. How We Share Information

We may share information:

  • With service providers that help us operate the Portal (including Microsoft Azure/Application Insights and LogRocket) acting as processors/service providers.
  • With affiliates and contractors who need access to perform services (subject to confidentiality obligations).
  • If required by law, legal process, or to protect rights, safety, and security.
  • In connection with a business transfer (e.g., merger, acquisition) subject to applicable protections.

We do not sell personal information in the traditional sense.

6. Data Retention

We retain information for as long as needed to:

  • Provide the Services and maintain Partner accounts.
  • Maintain audit logs, security records, and diagnostic history.
  • Comply with legal obligations and resolve disputes.

7. Security

We maintain administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is 100% secure.

8. Your Rights and Choices

Depending on your location, you may have rights to:

  • Access, correct, or delete personal information.
  • Object to or restrict certain processing.
  • Receive a copy of your information (data portability).
  • Withdraw consent where processing is based on consent.
